Booking Terms and Conditions

The following booking terms and conditions are applicable to all registrations.

1. PRICING
1.1 All prices are in Australian dollars and include 10% GST.

2. REGISTRATIONS
2.1 Conference Registration Packages are inclusive of the conference and gala dinner unless stated otherwise.
2.2 The Hall of Fame event is an additional cost.
2.2 Accommodation, travel, extensions and other incidentals are at your cost.

3. ACCOMMODATION
3.1 Accommodation is at the conference venue, the Grand Hyatt.
3.2 Accommodation is optional however to secure the special conference rate
bookings must be made through gener8 Events.
3.3 Accommodation can be prepaid with the conference rate through gener8 Events.
3.4 Accommodation requested after 15 August 2021 cannot be guaranteed.

4. TRAVEL
4.1 All costs and arrangements associated with your travel to and from the conference(including parking) are at your own arrangements and cost.4.2 It is recommended that you take out travel insurance to cover for any unforeseen circumstances that might impede your ability to travel.

5. PAYMENT TERMS
5.1 Payment of the conference registration fees is to be made direct to gener8 Events.
5.2 Accommodation must be prepaid.

5.3 Payment can be made by credit card or EFT.
5.4 All credit card payments attract credit card surcharges as follows:Visa, MasterCard or Amex - 1.86%
5.5 Please note these credit card charges are directly passed on by gener8 at the rates charged to them. They are higher than standard retail outlet rates as they are charged as online merchant rates. If you have any concerns about these rates charged, please speak with gener8 and alternative payment methods can be accepted.
5.6 Payment will be processed in full upon receipt of your registration form unless you opt to participate in the payment plan.
5.7 The payment plan is
  • Upon registration 30%
  • 30th November 2021 40% (or 70% if registering after 1st December 2021)
  • 31st January 2022 Balance remaining
5.8 A taxation invoice/receipt will accompany your registration confirmation which will be emailed to you once your registration form has been received and processed.

6. CANCELLATION TERMS (updated 10th February, 2022)
6.1 
Your registration is fully refundable (less a $45 handling fee and any credit surcharges paid) if cancellation is received and acknowledged in writing by emailing  conference@aicvic.com.au by 29th October, 2021. After this time, the following terms apply:
- Prior to 12th November 2021, no penalty for accommodation changes but 25% of registration fees per person cancelled apply.
- Prior to 28th February 2022 (extended from 24th January), no penalty for accommodation but a $45 admin fee and 25% of registration fees per person cancelled apply.
- Thereafter, full accommodation and registration fees apply (transferrable to another colleague if replaced).

Special Covid clause: Outside of these dates, If a positive Covid-19 diagnosis, or imposed government restriction or mandate stops you from personally attending the event then we request you advise us of this as soon as you are aware. You will be encouraged to send a replacement and your ticket is fully transferrable for this purpose (at no penalty). If however you are unable to send a replacement, you will be encouraged to apply for an AIC Vic credit note. Please note the amount to be credited will depend on how much notice is given ahead of the event and where substantial non recoupable penalty costs are not incurred by AIC. Please note the $45 admin fee will still be applicable to any credits issued.
6.2 Penalties may also apply to any changes made to your booking after 12th March 2022

7. NON DISCLOSURE
7.1 Your name, company and email address will be provided to sponsors of the AIC (Vic Div) 2021 Conference. If you do not wish this to occur please email conference@aicvic.com.au advising this.
7.2 Other than as stated in clause 7.1, gener8 and AIC will only use personal information provided for the purpose of managing your participation in the event.
7.3 Images (Photo and Video) collected during
the course of the conference by AIC and gener8 Events may be used by AIC and it’s representative for future marketing activities.

9. FORCE MAJEURE
9.1 In the event AICVic Conference cannot be held due to acts of God, exchange controls, export or import controls, or any other government restriction, wars, hostilities, blockades civil disturbances, revolutions, strikes, terror attacks, lockouts, severe transportation difficulties or any other cause beyond the reasonable control of gener8 Events and/or AIC, delegates shall be notified of such force majeure condition and advise of a re-scheduled conference date once practicable after a force majeure condition ceases to exist. 
9.2 In the event of a force majeure, impacting the ability of the event to proceed. The event will be postponed to a new date and new cancellation terms will be advised
